Booking with TreXperience
When booking a tour on our website, please provide all required passport details (full name, passport number, date of birth, nationality, and gender). Once payment is confirmed, we’ll check availability and secure your permits. Your tour is fully confirmed only after you receive written confirmation from TreXperience.
Initial Deposit
To secure your booking, TreXperience requires an initial deposit. This deposit ensures essential arrangements, including permits, train tickets, and hotel reservations, and is non-refundable and non-transferable. A 5.5% merchant fee applies, which is paid by the traveler.
Deposits to Secure Your Tour:
- Inca Trail Tours (2, 4, or 5 days): USD 200 per person
- Alternative Treks (non-Inca Trail treks): USD 200 per person
- Machu Picchu Day Tours (by train): USD 200 per person (excludes luxury tours)
- Luxury Multiday Tours: USD 400 per person
- Luxury Machu Picchu Full Day Tour: USD 400 per person
- Travel Packages: Deposit ranges from USD 200 to USD 800 (refer to specific tour pages)
- Custom Multiday Tours with Hotels: 30% of the total tour cost (non-refundable and non-transferable)
Each tour package specifies the exact deposit amount, which is required to confirm your booking and cover the costs of reservations.
Remaining Balance in Cusco
The remaining balance must be paid in Cusco at least 48 hours before your tour departure. You can settle this balance at our conveniently located office in Cusco. You can pay the remaining balance in cash, by credit card, or through PayPal. Please note that payments made by credit card or PayPal will incur a 5.5% merchant fee.
If you are unable to arrive in Cusco 48 hours prior to your trek, please contact our sales team to arrange alternative payment options.

When you book with TreXperience, we request an initial deposit to secure your permits, hotels, and transportation. However, we don’t withdraw this money right away. Instead, your payment stays in a trust fund until you complete your tour. This way, if something unexpected happens and you need to modify or cancel your trip, any refund is processed directly to your account. Your peace of mind is our priority, so you can book with confidence, knowing your money is safe.
Alternative Payment Solutions
TreXperience offers flexible payment options to suit your needs. You can pay securely with any major credit card through our trusted processor, Stripe. If you prefer PayPal, simply contact us, and we’ll send you a personalized link for easy payment.

Refund Policy
Cancellations from Guest
All deposits are non-refundable and non-transferable because they cover the essential permits and reservations needed to prepare your tour. These fees support the arrangements TreXperience makes on your behalf, so we’re unable to offer exceptions. However, we’re happy to provide a letter for your insurance company to help recover some costs.
If you cancel within 72 hours of departure or during the tour:
- 72 hours or less before departure: 100% of the total cost is due.
- Cancellation during the tour: 100% of the total cost is due.
We offer flexible payment options, including full payment, installments, and other arrangements. For cancellations made more than 72 hours before departure, we’ll refund your payment minus the deposit.
Force Majeure Events
A force majeure event is an unexpected situation that makes it impossible to run the tour as planned. For Machu Picchu, this could mean natural events that affect the site or make it inaccessible. In these cases, TreXperience cannot be held responsible for any losses.
Examples of force majeure events include riots, strikes, terrorism, natural disasters, extreme weather, fire, or similar situations. TreXperience may need to change, postpone, or cancel tours because of these events or if there aren’t enough travelers. Depending on the situation, we may offer a full refund, partial refund, or no refund. We’ll always try to provide alternative options before canceling a tour.
Lifetime Deposit Guarantee
Our Lifetime Deposit Guarantee keeps your deposit safe in unexpected situations like war, disease, pandemics, or travel restrictions (such as COVID-19) that prevent you from traveling. With this guarantee, you won’t lose your deposit—you can use it for a future trip with TreXperience.
To qualify, you’ll need to:
- Cancel at least 72 hours before your tour.
- Show that the event directly impacts your travel or tour plans.
If you can't rebook yourself, you can also transfer your deposit to a friend or family member. Just provide us with proof of the event, and we’ll keep your deposit ready for your next adventure.
Cancellation Policies for Day Tours (Excluding Machu Picchu)
For day tours that do not include Machu Picchu or reservations like hotels or entry tickets, we offer free cancellation up to 72 hours before the tour departure. This applies to popular day trips such as Rainbow Mountain, Humantay Lake, Sacred Valley, Maras Moray, and similar experiences.
If you cancel within 72 hours of departure, no refund will be issued.
We also offer flexible payment options, including full payment, installments, and other arrangements. Refunds will be processed using the original payment method used for the booking.
Traveler Documentation and Group Policies
Passports and Visas
Travelers are responsible for having a valid passport (valid for at least 6 months after travel) and any required visas. TreXperience is not responsible for any issues related to passports or visas.
Children Policies
All travelers under 18 must be accompanied by an adult. Discounts may be available for children under 17, and baby carriers can be provided if requested in advance.
Prices for Camping Tours
Prices are per person and based on shared tents (two people per tent). A single supplement may apply if you request a personal tent, with an extra charge of $35 USD. Solo travelers will be paired with another solo traveler of the same gender unless otherwise requested.
Tours with Hotel Accommodations
Standard rooms are twin rooms with private bathrooms. Double beds or room upgrades can be arranged upon request, and single occupancy has a supplement fee of $35 USD per night. Please let us know in advance if you have any special requests or need an upgrade.
Group Size
Group tours have up to 8 travelers per guide. A second guide will be added for groups of 9 or more. The maximum group size on the Inca Trail is 16 people, and a minimum of 2 travelers is required for departure.
Private groups can be arranged for larger parties; please get in touch with us for a special quote if you’re traveling with a large group.
Tipping
Tipping in Peru is optional. During the pre-tour briefing, held the day before your tour, we'll provide tipping guidelines with your final travel documents.
Travel Conduct, Liability, and Legal Information
During the Tour
Train tickets from Machu Picchu are subject to availability, so return times to Cusco can vary. TreXperience will book the most convenient return train for the group. If you have specific timing requests, please let us know in advance by email. Last-minute changes may incur additional fees.
While on the tour, it’s important to follow your guide’s instructions closely. All Inca sites and other places we visit have rules that must be respected. If you have any issues during the tour, please inform your guide or our office team so we can assist.
If you’re unable to continue the tour due to illness or injury, we will help you reach the nearest medical center or hotel. Medical expenses, transportation, and any helicopter airlifts are the traveler’s responsibility. We’ll provide a certificate to assist with insurance claims. Although travel insurance isn’t required, we highly recommend it for your peace of mind.
TreXperience reserves the right to cancel, modify, or reschedule tours in cases of severe weather, natural disasters, strikes, or unexpected injuries. In such cases, our standard terms and conditions apply.
Important Points During the Tour:
- Train tickets from Machu Picchu depend on availability, and return times may vary. Specific requests need to be arranged in advance.
- Respect site rules and follow all instructions from your guide.
- If you are unable to continue the tour due to health reasons, TreXperience will assist with transport to the nearest medical facility.
- All medical, transportation, and emergency costs are the responsibility of the traveler.
- TreXperience may adjust tour plans for severe weather, strikes, or other unexpected events.
Assumption of Risk
Adventure travel comes with certain risks, such as illness, injury, and environmental challenges. By booking with us, you acknowledge these risks and agree to participate voluntarily.
Liability
TreXperience’s responsibility is limited to the total amount paid for the booking. We are not liable for indirect losses, except as clearly outlined in these terms.
Applicable Law
All services and any disputes are governed by Peruvian law. Clients agree to resolve legal matters through the courts in Peru.
